The founding principle : few root folders, obvious names, never more than three levels deep (beyond that, you don’t go down — search does the rest). The proven plan for an individual, to adapt : 01-Administrative (subfolders by domain : Taxes, Bank, Housing, Health, Vehicle, Work, Family — the heart of the system, the one that helps at the worst moment) ; 02-Projects (one folder per ongoing project : Kitchen-Renovation, Trip-Italy, Association — everything that has a beginning and an end) ; 03-Personal (CV and applications, writings, tracked hobbies) ; 04-Archives (closed years and finished projects — you move things there, you don’t work there) ; and photos live elsewhere — in the photo library, which is their real system (albums and dates — our photo guides : don’t duplicate in folders) ; and music/videos in their apps. The historical stock is handled strategically, not heroically : 1) Create the new plan (the hierarchy above, empty) : new first, old later — starting today, the incoming flow is clean ; 2) Make a folder « ZZ-Pre-Sorting » and move EVERYTHING in bulk there (Desktop, Downloads, historical Documents) : the psychological effect is immediate — clean space, nothing lost ; 3) Retrieve by need AND in batches — the two-path rule : every file you go to SEARCH in ZZ is filed on the way (sorting by use — useful files naturally migrate in a few months), plus a 15-minute batch per week on obvious categories (type-based search helps : all bank PDFs are found by keyword and filed in bulk) ; 4) After six months to a year, what’s still sleeping in ZZ was useless : archive the folder as-is in 04-Archives (the safety net : nothing is deleted) and forget about it. This method avoids the classic trap — the heroic sorting Saturday abandoned at 4 PM that leaves a worse mess than before : here, the system works from day 1, and the past dissolves instead of being fought. Specialized tools are justified in companies (validation workflows, fine-grained rights). Beware of « magical » apps that lock your documents in their format : longevity is the first criterion of organization.

And work files mixed with personal ones ?

Separate at the root (a Pro space, a Personal space — ideally two distinct accounts/spaces : the employer’s shouldn’t host your taxes, and vice versa) : the boundary protects both worlds (confidentiality, job departure, backups).
